Now that electronic ticket data automatically flows through their systems, they know exactly how much material has been received, and their project managers and other team members can view daily job costs to manage budgets. GPI's field engineers used to take days reconciling invoices at month- end. Now, digital delivery tickets are pre-coded, invoices are automatically reconciled against goods received, and they have visibility into their materials and hauling costs daily. "We don't have to check tickets one by one anymore," said Miguel Hernandez, Segment Accounting Manager for Grand Parkway Infrastructure, LLC. "We just have to check if the delivery ticket has been approved by the engineers. It used to take one to two hours, but now it just takes about 30 seconds to reconcile an invoice." Bangerter Three Interchanges Bangerter Three Interchanges is a large joint venture between W.W. Clyde and RLW (Ralph Wadsworth). It is a $140M project in the Salt Lake area comprised of three separate interchanges; essentially three separate small projects separated by 2-3 miles. This project has a complex mix of tickets – from handwritten hauling to normal scale tickets, as well as inbound raw materials tickets from one of their plants. Matching tickets with invoices was a tedious process that drained attention and focus from other aspects of the job. To complement ticket data that is automatically fed from the CONNEX Platform, TicketPro assists to digitizing the remaining tickets that come into the office via a scanner or mobile app. TicketPro combines a mix of artificial intelligence and optical character recognition as well as a small army of people working 24/7 to verify that the data on each ticket is accurate. Once invoices arrive, TicketPro will automatically read the data on the invoice and match it to the tickets previously received, ensuring that invoices are correct. With the data in one location, invoice reconciliation takes just seconds to match tickets with invoices, mitigating risk of overpaying or paying for invoices that have already been paid for, run reports that enable a more efficient job, and have insight to cut costs and eliminate inefficient trucking operations. W.W. Clyde worked with Command Alkon to create a cost code system so that they could keep track of costs on a daily/weekly basis. Now they have more understanding of how they are measuring up in terms of the budget and can make decisions to ensure their costs are controlled. The manpower used for manual data entry can now be allocated toward solving actual business and process problems. TicketPro integrates with multiple accounting software solutions, such as Viewpoint and Quickbooks, to ensure a smooth transition of information into existing AP systems already in place. "It used to take me a half-day to manually enter information, and then another half-day to pay invoices," said Brendon Jorgensen, Field Manager at W.W. Clyde & Co. "With TicketPro, I just scan the tickets and the data automatically uploads into the system. What used to take me a half-day now only takes me an hour." Integrating TicketPro with Viewpoint enables WW Clyde to reconcile six times the amount of invoices in a day!
